First of all numbers, both that we can fit in the place and £-figures...

I think that we can fit at most eight boards in all three rooms that we are currently in, so that would limit numbers to sixteen. I'd really need to take a look at the stable hall thingy with a long tape measure in-hand to be able to judge how many tables we can fit in there, as looking at it again last night I think the hall might only 30' long, but I'm sure that can't be right...

I also need to get a firm idea from Avenue House on how much we'd have to pay to rent the hall for pretty much the whole day at the weekend, getting them firmly nailed down for our club night would help as well, preferably with a piece of paper that we can sign to secure rent of the hall for at least six months...



So basically, if a fair ticket price is £10, and we can only fit 12 tables in the hall, then obviously if the rent on the hall is £250 for the day, then we either can't do it, we'd need to charge £15 per ticket, or limit number to sixteen and hold it in our current rooms...



Anyway costs and the like aside, what sort of date were we thinking of? I imagine that we'd need at least a month's notice, and ideally some way of taking payment in advance, especially if we're using the hall. People have an annoying habbit of cancelling at the last moment if its a 'pay when you get here' event...

Hi ya.

For a tourney, you should look at starting small to ensure that the format etc works.

£15 for a tourney ticket isn't bad. You should maybe try and get sponsored by OG games for prizes....that way any spare cash can be put back into the club.

A paypal account would be the easiest way of taking payment I think, if you have to add a fee for paying that way then so be it.

Possible dates....maybe Saturday 6th Feb?

Prizes aren't a mandatory thing. Perhaps a little trophy would suffice or something along those lines if something tangible was required. Adding prizes in will only attract the sort of people that might dissuade more casual gamers from turning up for another event. Better to start softly and grow to a position where such things might be wanted by regulars.

I agree with Des and Grant. I will discuss with Dave Walton the tournament organiser. Once price evaulations are carried out i will open a discussion on what people would like in a perfect tournament.

Well I tried giving them a call this afternoon, but they must have gone home or be out and about in the grounds. I'll try again tomorrow, I might even pop by for a chat. I've promised them a couple of spare iris' that I've got, the pots are otherwise cluttering up my garden...


But really I want to check when we'll be able to use our current room until, and therefore when we might be able to use it for a weekend event. This would obviously limit our numbers to I guess sixteen at most, but that sort of size is small enough to start with I'd say.

And then of course I need to find out how much hiring the hall at the weekend would cost. I'm guessing in the region of £25hr, so a full day is likely to cost in the region of £200. I'd obviously need to confirm this though.


One other thing to consider is lunch. They can offer sandwiches, rolls and the like. Ordinarilly they charge £60 to bring food in from outside, and whilst they've been ok so far in turning a blind eye to the odd pizza order on a week night, I doubt that they'd do the same at weekends...

In all honesty I think that prizes and prices are something that we can consider as soon as we have information about the hall and dates etc sorted. As a general rule though, trophies/certificates are a good idea but I'm not sure for a one dayer that prizes are necessarily de riguer.

As for price, Spiky is running a tournament in January (3 Games 2250 points) for £15 and I feel we can do similar, as soon as we have worked out what space we need etc.

All will become clearer as soon as we have those initial particulars worked out and then I can start organising things a bit better!

You can start working on a rules pack straight away if you like. I am sure that we will be running a Warhammer event at some point this year. Really the choice on our part will be if we can run it in our current room can we get things organised and promoted in time to make it worth the effort?

Indeed, it may even be worthwhile thinking of running a smaller event in our current room, pretty much an 'internal' event in either the first or second weekend of Feburary (if we still have access to said room) as a 'test run', with a larger event scheduled for later on in the year to promote the club both to London Warhammer players, and to the wider Warhammer community.

Heck, permission pending from the wife, and assuming people don't mind my army being largely black, grey or metal, I'd take part in a small one-day Warhammer bash at the start of Feburary. I'd need a couple of games to get myself up to speed, I haven't played Warhammer for at least two years, and then it was maybe four years before that that I played with any degree of regularity...

Even certificates for podium places and best army would be suitable. Doesn't have to be a proper prize as such.

As an aside when doing a one-day event we should really think about doing it on a Sunday rather than a Saturday. That way we're not automatically excluding any players from the Jewish community from attending. Well the Orthodox ones that take their religion seriously anyway...

It was always my intention to run it on a sunday. I think I even said as much when the idea first came up.

Incidentally Avenue House's manager is on annual leave until the New Year, so we're not going to get a final word on the hall availability and costs until then. I'm hoping that we might get something on room 15's availability at weekends soon though.

What about Christians that attend church on a Sunday - won't they be therefore excluded?

Please don't plan gaming schedules on religious grounds. Observance is a choice an individual makes and comes with its own set of sacrifices and rewards. Simply choose the best day for it and let whomever is available attend thats all one can ask for in the end.

Well we have a large Jewish population in the area, and far more strictly observant Jews locally that play with toy soldiers than Christians that refuse to do anything other than go to Church on a Sunday morning. Anyway, there are a couple of churches nearby that someone can pop to for a quick wafer and a sip of wine if they want ;)

I'm about as athiest as they come, indeed it's probably best if I don't discuss my personal views on religion as through the lovely flat medium of an internet forum I'd probably offend everyone in some form or another...

But the primary aim of any event IMHO should be to publicise the club to as many of the local gaming community as possible, so it makes sense to have it on a day that most of them will be able to make it, and as I said taking into account the fairly large section of local gamers who happen to be Jewish, merely from that PoV running it on a Sunday makes the most sense.


But considerations of that nature aside, it will also be much, much easier to run an event on a Sunday. It gives us the whole of Saturday to get our act together, sort out any last minute issues, and of course assuming that we can get access, then also set up the room ready for an early start the next day. Also the shops are open longer on Saturday, so many people do their weekend shopping, etc... on Saturdays, go out on Saturday night and so on.



Anyway I just got an email back from Avenue House. We should find out about the availability of room 15 for the first weekend in February, probably by the end of the first week in January. Likewise we should hopefully have a firm price for the stable block hall by then as well, both for use at weekends and for our regular club night.
